Established in 2010 to support and advocate for the interests of WMAs, CWMAC plays a crucial role in promoting biodiversity conservation while enhancing the livelihoods of local communities.
The Office Operations Assistant will be in charge of making sure the CWMAC office runs smoothly and effectively. In addition to executing receptionist tasks and supporting normal office operations, this function include managing logistics and keeping records. The perfect applicant will be extremely well-organized, meticulous, and able to multitask in a fast-paced setting.
Position Overview
Job Title: Office Operations Assistant
Location: Dar es Salaam, Tanzania
Department: Finance and Administration Department
Reports To: Finance and Administration Manager
Responsibilities
1. Logistics:
- Organize and oversee inventory and office supply.
- Plan, coordinate, and supervise the delivery and distribution of supplies and machinery.
- Help in organizing and arranging meetings, workshops, and events, including choosing a location, making travel and food arrangements, and organizing the proceedings.
- Manage and keep office equipment in good working order by scheduling necessary repairs and keeping an eye on it.
- Control company cars and keep an eye on CWMAC drivers
- Help in scheduling employees’ travel, including lodging, airfare, and other forms of transportation.
2. Procurement:
- Manage the procurement process, which includes sourcing, haggling, and buying services, equipment, and office supplies.
- Keep up your relationships with suppliers and vendors to guarantee prompt delivery and economical solutions.
- Payable procedures, purchase orders, and invoices are all tracked and managed.
3. Records Management:
- Ensure that all physical and digital records, including correspondence, reports, and other documents, are accurate and up to date.
- Create, develop, and oversee the upkeep of effective filing systems.
- Help with the creation of presentations, reports, and other papers as needed.
- Verify adherence to the organization’s confidentiality and document retention procedures.
4. Reception:
- As the initial point of contact for guests and calls, offer a courteous and professional atmosphere.
- Oversee mail receipts and dispatch, including courier services.
- Respond to questions and assign them to the right employees.
- Make sure the reception area is kept tidy, orderly, and appealing.
5. Office Operations:
- Watch over and make sure the CWMAC office building is clean.
- As needed, assist the CEO and other staff members with their administrative tasks.
- Help with the internal communications’ preparation and distribution.
- Encourage adherence to office policies and procedures.
- Help to ensure that the workplace is secure and safe.
Qualifications
- Education: You must have a high school diploma or its equivalent. It is preferred to have additional training in office administration or related subjects.
- Experience: Two years minimum of expertise in office management, logistics, or a similar industry.
- Skills: Strong multitasking and organizing skills. o Proficient in both oral and writing communication.
- Attributes: Both dexterity and aptitude at solving problems.
